Sales Tax & Accounting Specialist’s Mission:

The mission of the Sales Tax & Accounting Specialist is to monitor compliance with sales tax laws and regulations. This role is also responsible for implementing efficient sales tax processes and systems, providing training and guidance to internal teams, managing sales tax audits, and suggesting avenues to mitigate risks associated with sales tax compliance. This role also supports the accounting day to day functions to provide timely and accurate financial operations. 

Key Objectives:

Sales Tax Compliance and Strategy:

  • Oversee and manage sales tax compliance for multiple jurisdictions, ensuring accuracy and timeliness of filings.
  • Collaborate with teams to implement and maintain sales tax processes for accurate reporting and compliance.
  • Provide suggestions to ensure data accuracy and integrity in sales tax reporting and accounting processes.
  • Manage ecommerce to ERP connection daily for sales tax accuracy and timely order fulfillment.
  • Communicate with the sales tax CPA firm during the state registration process. 
  • Manage and hit deadlines for all duties in the tax filing calendar. 
  • Establish a process, maintain and verify exemption certificates in nexus states.
  • Coordinate and manage sales tax audits, including preparing documentation and responding to auditor inquiries.
  • Implement systems and processes to support audit defense and resolution.
  • Assess and mitigate sales tax risks, including potential exposure to penalties and interest.
  • Partner with the Event Coordinator to handle the set up, reporting and filing of event sales tax.

Accounting Support:

  • Assist with reviewing and releasing invoices, ensuring accuracy and timely processing.
  • Review and GL-code vendor bills, ensuring proper classification and documentation.
  • Assist in monitoring the accounting email inbox, addressing inquiries and resolving issues.
  • Assist with recording all customer payments by ACH, Check, Credit Card, PayPal, etc.
  • Support mid-month, month-end, and year-end close processes.
  • Manage ecommerce to ERP connection daily for payment accuracy and timely order fulfillment.

Training and Education:

  • Provide training and guidance to internal teams on sales tax policies, procedures, and compliance requirements.
  • Stay updated with industry trends and best practices related to sales tax management and accounting support.
  • Maintain relevant SOPs documents.

Additional Responsibilities:

  • Maintain an orderly digital filing system, creating replicable and referenceable processes. 
  • Participation in special projects and company initiatives as assigned.
  • With your detailed knowledge of the day to day accounting processes, provide backup support when needed to the current systems integrations.

Education & Experience:

  • High school diploma or equivalent required.
  • Associate’s degree in Accounting/Business or equivalent experience in lieu of degree is required.
  • 4+ years in an Accounting related position required.
  • 2+ years in sales tax compliance required. 
  • Proven Knowledge and understating of GAAP accounting principles. 
  • Proven understanding of United States and Canada sales tax compliance. 
  • Manufacturing and Inventory accounting experience strongly preferred
  • Proficiency in Google Business Suite and MS Office 365.
  • Experience with platforms such as Shopify, Acumatica and Zendesk is desired.

Salary & Benefits:

This is a hybrid position based in our Longmont, CO office. The standard work hours for this position are Monday through Thursday from 8:00 am to 5:00 pm in the office, with the option for remote work days on Friday. Starting pay range for this position is $55,000 - $70,000 annually with up to 5% bonus potential. HydraPak offers up to 120 hours of Paid Time Off in the first year of service, 12 paid holidays, a range of insurance benefits including medical, dental, vision, and disability insurance starting the first of the month following a 30-day waiting period, HSA/FSA, and a 401(k) plan (with company match) following a 90-day waiting period.
